Week 5. So Many Lists
One of the challenges Anne faces with accessing her materials is the multitude of container lists and inventories she has. And, as she moves files from one location to another--from Storage 1 to Storage 2, from Storage 2 to Home, from Home to Storage 1--she begins to loose track of where things are. To that end, I have been working on a Master Inventory Tracking List to combine all of the files into one working document. I started with 8 documents, all different formats (Work, Excel, PDF) and combined them to make one Excel document with separate tabs for each series. Because of our focus on Arts Wire, I left those lists out of the Master Tracking Document but created them in Excel for consistency.
In Week 6, I will be visiting the storage spaces and Anne's apartment to confirm where all of the containers are so that we can start fresh from that day and retire the old documents which have location notes going back as far as 2005. I will also create a sign out system so that Anne can better track her files and boxes while she does personal research and to assist her when she culls her collection. At the end of Week 6, Anne and her interns and I are meeting at her storage space to conduct a major inventory of her containers, noting content to the folder level.
